Student Coordinators: A&O Logistics (2)

The Student Coordinators (StuCos) for Advising & Orientation (A&O) work as part of a collaborative, cross-functional team to facilitate all aspects of the A&O program. The A&O StuCo team focuses on internal (purple) & external-facing (gold) programs & logistics. The StuCos collaborate with each other to support professional staff, student assistants, orientation leaders, and other student coordinators in the planning and delivery of all programs for first-year students.

Both StuCos serve as a paraprofessionals in the development and facilitation of Advising & Orientation programs and the recruitment, selection, training, and supervision of the Orientation Leader staff. StuCos also support other FYP programs as needed. As a team, we provide high-quality education, support, and transition resources to nearly 8,500 first-year students, including transfer and international students.

Summary of Work 

Together, both StuCos for A&O Logistics will:

  • Develop proficiency in utilizing and building technical and administrative skills/tasks within Microsoft Office, Google Suite, Zoom, Visual Zen, and other internal UW databases/systems 
  • Collaborate with the Purple and Gold Student Coordinators for A&O Programs to support campus partners and Orientation Leaders during A&O programming, including Issues Chats and the end of Summer Celebration  
  • Support Student Assistants - assist with front desk operations and participate in organizing SA trainings 
  • Help manage the A&O reservation system (Visual Zen) to make sure students are able to make a reservation 
  • Monitor the Zoom logistics calendar (fypadmin@uw.edu) to ensure all events hosted in FYP Zoom accounts do not conflict. Create Zoom rooms for A&O programing and live webinars 
  • Other FYP duties: Including but not limited to providing feedback on documents, presenting during student trainings, and supporting live Zoom rooms
  • Support the planning and delivery of all programs in FYP in line with the functions of these roles and the StuCos’ developmental interests.

The StuCo for A&O Logistics: Purple is responsible for:

  • A&O Prep (40%)
    • Manage A&O preparation processes (summer and winter) - prep calendar (internal operations schedule), auditing student rosters, upload csv lists, manage lists from campus partners (athletics, engineering, EFS), track student no-shows
    • Organize and audit A&O spreadsheets for various stakeholders - Presenter List and OL Sheets
  • Communications (55%)
    • Manage website updates including but not limited to the orientation website and student agendas
    • Manage student transition communications - create communication guides and support in responding to inquiries
    • Manage the fypadmin@uw.edu inbox and support the fyp@uw.edu inbox
  • Recruitment (5%)
    • Support winter recruitment efforts
  • Supporting and assisting the StuCo for A&O Logistics: Gold track in their tasks and projects (as needed)

The StuCo for A&O: Gold is responsible for: 

  • Media Management (50%)
    • Coordinate the collection, organization, captioning, and basic editing of all A&O media, including slides, videos, and photographs.
    • Track all participant engagement in videos, sessions, webinars, and podcasts for reporting purposes.
    • Support general SAS unit video needs 
    • Support Parent & Family Programs (PFP) by creating and executing a social media posting calendar and communicating with campus departments to provide accurate answers to questions posted in the group. 
    • Support the production of ongoing student and family engagement opportunities, including the Husky Huddle Up Podcast, by communicating with presenters, scheduling meetings, and providing technological support during live events & podcast recording sessions.
    • Inventory & organize Vimeo account videos.
  • A&O Support (25%)
    • Support the GEN ST 347 course with logistical assignments and administrative support. 
    • Support A&O sessions Ask The Pack Lunches and Academic Interest Webinars.
    • Work with the A&O Program: Gold StuCo to create a process to provide OL’s with feedback during the summer 
    • Support the facilitation of live Family Orientation programs on Zoom by communicating with presenters, introducing webinars, troubleshooting connection problems, and answering questions from program participants. 
  • Website Management (25%)
    • Manage website updates including but not limited to the orientation website and student agendas 
    • Support PFP in updating content in the Parent & Family Guide and Parent & Family Resources website. 
  • Supporting and assisting the StuCo for A&O Logistics: Purple track in their tasks and projects (as needed)

Required Qualifications

  • Full-time, degree-seeking, undergraduate student on the Seattle campus
  • Enrolled in at least 12 credits in spring quarter (Spring Quarter graduates are eligible to apply)
  • Enrolled in no more than 5 credits in summer quarter
  • Good academic and conduct standing prior to and throughout the entire term of employment.
  • High attention to detail when auditing and creating documents
  • Must be available to work Autumn Quarter 2023 - Autumn Quarter 2024.

Preferred Qualifications

  • Highly organized and detail-oriented, must be flexible and able to work in a fast-paced environment.
  • Experience crafting detailed written communication that is accessible to various audiences
  • Ability to remain curious, intentionally reflect, and generate creative suggestions
  • Receptive to balancing several points of feedback, okay with public edits
  • Flexible when working on collaborative and independent projects
  • Willingness to seek help and ask questions
  • Ability to collaborate with StuCo team over long-term projects
  • Thorough understanding of how to build community within a team
  • Experience working with FYP as a student employee, peer educator, or volunteer
  • Experience and skills working with Microsoft Office and Google Drive, specifically Excel/Sheets

StuCo for A&O Logistics Gold Only:

  • Experience producing videos, podcasts, or webinars.
  • Experience hosting videos using Vimeo, facilitating meetings using Zoom & editing videos using editing softwares such as Adobe Pro CC or DaVinci Resolve
